Reference Photos

In the last step of the kiosk portal (signature), guests can optionally upload a reference photo — either directly via camera or from the device's photo library (JPEG, PNG, or WebP).

What is the photo for?

The purpose depends on the guest's decision:

  • On consent: the photo helps you recognize or match the person in later event footage.
  • On refusal: the photo helps your staff visually recognize the person, so they are deliberately not photographed or are removed from footage.

The upload is always optional — guests can complete the consent flow without a photo.

Once a photo has been selected, the guest must additionally agree to storing it via a separate checkbox. Without that checkbox, the image is not submitted. The photo can be removed again at any time before final submission.

Where do you find the photos?

All reference photos uploaded for an event appear in the event gallery (Event → Gallery) as a searchable grid, filterable by consent/refusal. A click opens the photo in full view with the person's name and status. If a photo is missing (no upload, or no consent to store it), a placeholder is shown instead.

From the gallery you can also share photos with external people — see Gallery Shares.

Data protection

Reference photos are personal data and are subject to the same retention rules as the rest of the consent data — they are deleted as part of automatic anonymization (see Managing Consents).
